Plan terms

Terms & conditions

How payments work, how to cancel, and what the 12-month minimum term means. These terms apply to every Pro Dental Plans membership.

1. Your membership

These terms apply to every Pro Dental Plans membership. Your plan is an agreement between you and the practice you join at: Harley Street plans are provided by Prodent London Limited and Spanish Place plans by Prodent Spanish Place Limited, each a separate legal entity.

Your membership begins on the date your first monthly payment is received. The plan covers only the benefits listed for the plan you chose, at our practices, and is personal to you — it cannot be transferred to another person or used at another practice.

A plan is not insurance. It is a way of spreading the cost of planned, routine care over the year, and it does not cover emergency treatment, laboratory-made restorations, orthodontics or any treatment not listed in your plan.

2. Payments

Plan fees are collected monthly by Direct Debit through GoCardless. Your bank details are held securely by GoCardless and not by the practice. Payments are taken on or around the same date each month.

There is no registration or joining fee.

If a payment fails we will let you know and attempt to collect it again. Where a payment remains unpaid for more than 30 days we may suspend the benefits of your plan and we reserve the right to end the plan and invoice you for any balance owed.

We may increase plan pricing with at least three months' written notice. Any course of treatment already started before an increase takes effect is completed at the original price. For changes to the core benefits of a plan we will give you at least 30 days' written notice.

3. The 12-month minimum term

Every plan runs for a minimum term of 12 months from your start date. After that first 12 months your plan continues month to month until you or we end it.

Your first scheduled treatment visit under the plan — exam, hygiene, composite polish or implant review, depending on your plan — becomes available once 50% of the minimum term has been paid, that is after six monthly payments. The free 3D iTero digital scan is the exception and is available from the day you join.

Plan visits must be booked and attended within your 12-month plan year. Unused visits cannot be carried over into the following year, exchanged for other treatment, or refunded, and a missed or unused visit does not reduce your monthly payment. Please give us at least 24 hours' notice if you need to change an appointment.

4. Cancelling your plan

You may cancel within 14 days of joining for a full refund of anything paid, for any reason and with no questions asked. Simply tell us in writing within that period.

After the 14-day cooling-off period you may end your plan by giving 30 days' written notice. If you end the plan before completing the 12-month minimum term, the remaining balance of that term becomes payable immediately.

Cancelling your Direct Debit with your bank does not by itself end your agreement with the practice. Please always give us notice in writing, otherwise we may continue to invoice you directly for any balance owed.

If you have received discounted treatment under the plan and your plan ends within 12 months of that treatment, the value of the discount you received also becomes payable.

We may end your plan by giving you 30 days' written notice, or immediately where payments remain unpaid or where the professional relationship has broken down. Any credit owing to you will be refunded.

5. Family discounts and treatment discounts

Where two or more members of the same household join together we apply a 5% discount to the combined monthly total, or 10% where three or more join. If a member joins or leaves, the discount is recalculated for the remaining members from the next payment date.

Plan members receive 10% off further general treatment carried out at the practice while the plan is active. This discount cannot be combined with other offers and does not apply to treatment already quoted or started before joining.

6. Your care

All treatment provided under a plan remains subject to clinical judgement. Where an item is described as provided 'if clinically required' — such as fluoride application or x-rays — it is included when your clinician considers it appropriate.

Plans assume your mouth is dentally fit when you join. Where existing treatment is needed first, we will quote for it separately before your plan benefits begin.

7. Questions and complaints

Speak to reception or your treatment coordinator at either practice with any question about your plan. If you are unhappy with any part of your plan or your care, our complaints procedure is available on request and on our main website.

We may update these terms from time to time. Where a change affects your plan we will give you at least 30 days' written notice.

A plain-English summary of these terms is on the frequently asked questions section of the plans page. If anything here is unclear, please ask us before you join.
